How we use your information

BarNextDoor is a trading name operated by Connor Allen, a sole trader trading as Concord Events. Connor Allen is the data controller responsible for the personal information collected through the BarNextDoor website and staffing platform.

Who we are

Trading name: Concord Events and BarNextDoor. Data controller: Connor Allen (Sole trader). Registered/trading address: 98 Sparrows Herne, Basildon, Essex, SS16 5EX. Registration details: Company number: Not applicable. Privacy contact: connor@concord-events.co.uk.

What we collect

Applicant and staff details you provide (name, contact details, location and travel preferences, structured experience, role interests, right-to-work status, personal licence details where applicable, confirmation that you hold public liability insurance, availability) and a profile photograph.

Your profile photograph

We collect a profile photograph so authorised event and on-site teams can identify the correct staff member. It is stored privately in secure object storage, is not publicly accessible or indexed, and is visible only to you and authorised BarNextDoor admin/on-site roles. We do not use it for facial recognition or automated suitability scoring.

Lawful basis

We rely on steps taken to enter into and perform an engagement with you, our legitimate interests in staffing events safely and identifying staff on site, and your consent for optional marketing communications.

Who we share with

Clients, venues, payment providers and service providers involved in the events you are considered for or engaged on, confirmed per engagement. We do not sell your data.

Signed application records

Each time you submit the Apply to Work form or a profile update, we keep a read-only record of exactly what you submitted: your answers, the declarations you accepted with their exact wording and version, the Privacy Notice version, your electronic signature (the agreement you ticked and the name you typed), the date and time, how your identity was checked (for example, the personal email link you opened) and limited technical details (IP address and browser type). We also create a PDF copy with a unique reference and an integrity check so it can't be altered unnoticed. We use it to show what you confirmed if a question later arises, and you can view or download your own copy from your staff account. It is stored privately and only you and authorised BarNextDoor administrators can open it; every access is logged.

A declaration records what you confirmed. It does not decide your employment status, your tax position or your statutory rights.

Retention & your rights

Signed application records are kept while you are registered with us, then for 6 years after your last engagement with us (the usual period for contract, tax and legal claims), or 2 years after your last submission if you were never engaged. Every week we check for records that have reached the end of this period and place them in a review list for the owner of BarNextDoor. Each one is reviewed by a person, not deleted automatically. Normally the record, the application answers it contains and its PDF copy are then deleted together, and we keep only a minimal log (the reference, dates and integrity check, with no answers or signature) to show it was deleted. We will only keep a record for longer where there is a specific, recorded reason: for example, a legal claim, dispute, investigation or legal obligation (a "legal hold"). That decision has a review date, and the record is deleted once the reason no longer applies.

If you ask us to delete your information, we will assess your request individually under UK data protection law (UK GDPR). Where there is no valid reason to keep your signed records, we will delete them, together with their application answers and PDF copy, before the end of the normal period. We may keep some or all of them where the law allows, for example where they are needed to establish, exercise or defend legal claims or to meet a legal or tax obligation. If so, we will tell you what we are keeping and why. We will still correct inaccurate details, stop optional communications and delete other information we no longer need.

We keep your other information for as long as you are an active applicant or worker and for a reasonable period afterwards. You can request access, correction, deletion, restriction or objection, and can withdraw optional communications at any time by contacting us. You can complain to the ICO (ico.org.uk).
